About the Opportunity

Catholic Schools Parramatta Diocese (CSPD) is seeking a professional, welcoming and highly organised Administration Officer – Front Reception to join our team on a permanent full-time basis at our North Parramatta office.

Key Responsibilities

Reporting to the relevant Head or delegate, you will support the effective operation of CSPD’s front office and reception area by welcoming visitors, responding to enquiries and completing a range of administrative duties.

Your responsibilities will include:

  • Welcoming visitors to the North Parramatta office and providing a friendly, professional and helpful reception experience.

  • Acting as the first point of contact for face-to-face, telephone and email enquiries.

  • Answering, screening and directing telephone calls and enquiries to the appropriate person or team.

  • Managing visitor arrivals, maintaining accurate visitor records and notifying employees of their appointments.

  • Coordinating incoming correspondence, deliveries and other front-office requirements.

  • Maintaining accurate and accessible information using CSPD’s systems and administrative tools.

  • Coordinating calendars, meeting-room bookings, appointments and events as required.

  • Preparing and collating documentation, including reports, presentations, meeting minutes and team communications.

  • Maintaining a professional, welcoming and organised reception area and shared office spaces.

  • Providing general administrative support across the relevant service areas and directorates.

  • Following CSPD’s policies, procedures, privacy requirements and safeguarding practices.

  • Contributing positively to a collaborative and respectful working environment aligned with CSPD’s mission and values. 

About You

To be successful in this role, you will be a confident and approachable professional who enjoys interacting with people and creating a positive first impression.

You will bring:

  • Previous experience in reception, customer service, administration or a similar front-office role.

  • Excellent interpersonal and communication skills, with a confident and professional telephone manner.

  • A warm, welcoming and customer-focused approach.

  • Strong organisational skills and the ability to manage multiple enquiries and competing priorities.

  • High attention to detail and the ability to maintain accurate records and documentation.

  • Confidence using Microsoft Office and other digital administration systems.

  • The ability to exercise discretion and appropriately manage confidential or sensitive information.

  • A proactive, adaptable and reliable approach to your work.

  • The ability to work collaboratively and build positive relationships with a diverse range of stakeholders.

  • An understanding of, and commitment to, the mission and values of Catholic education.
